Getting Started: Importing Your Existing Members
Why This Is the First Step
Before renewal reminders, WhatsApp automation, or reporting can work correctly, CRM-VEDA needs your existing member data: who's active, what plan they're on, and when they're next due for renewal. Getting this import right at the start avoids member records being incomplete or renewal dates being wrong later.
Step 1: Prepare Your Member List
Export or compile your current member list with, at minimum, each member's name, phone number, membership plan, and renewal or start date. If you're currently using a spreadsheet or register, this is usually a straightforward export or manual compilation.
Step 2: Upload or Share the List
During onboarding, you can upload your member list directly through CRM-VEDA's import tool, or share it with the onboarding team, who will handle the technical import for you. Either path results in every member being created as a full profile in CRM-VEDA with their correct plan and renewal date.
Step 3: Verify the Import
Once imported, spot-check a handful of member profiles against your original records, confirming names, phone numbers, and renewal dates match. Catching a data entry issue at this stage is far easier than after automated reminders have already started going out.
Step 4: Turn On Automation
Once member data is confirmed correct, enable WhatsApp renewal reminders and UPI autopay so the system starts working automatically from that point forward, rather than manually managing renewals in parallel with the new system.
Common Questions
How long does the import usually take?
For most single-location gyms, import and verification is completed within a day. Larger, multi-branch gyms with several hundred members may take a little longer to fully verify.
What if some member data is incomplete or outdated?
Members can be created with partial information and updated later, though having at least a valid phone number for each member is necessary for WhatsApp reminders to work. Missing renewal dates should be corrected as soon as possible to avoid inaccurate reminder timing.
